Cloud Phone System

Hunt / Ring Groups

A hunt group, also known as a ring group, is a feature in a phone system where multiple extensions (and sometimes external numbers like cell phones) are grouped together under a single virtual extension number. Incoming calls to this virtual number are then distributed or "hunted" across the group of extensions until someone answers the call. Here are some key aspects and functionalities of hunt groups:

  1. Creation and Configuration:

    • Hunt groups are created and configured through the phone system's administration interface. This involves assigning a virtual extension number and configuring settings like ring duration, stages, and final destinations.
  2. Stages:

    • Hunt groups can have multiple stages where each stage consists of a set of extensions or numbers. Calls ring through each stage sequentially until the call is answered or it reaches a final stage.
  3. Final Stage:

    • The final stage can be configured to ring an external number (like a manager's cell phone), an auto attendant, or another extension. This ensures that calls are attended to even if the primary extensions are busy or unavailable.
  4. Features and Settings:

    • Custom Ringing: Different ring tones can be assigned to distinguish hunt group calls from regular calls.
    • Behavior Settings: Configure display names, permissions, music on hold, and call recording settings specific to the hunt group.
    • Night Service: Redirect calls during off-hours or specific times to designated numbers or extensions.
  5. Benefits:

    • Efficiency: Ensures that incoming calls are efficiently distributed among available staff.
    • Flexibility: Can include both internal extensions and external numbers, enhancing accessibility.
    • Manageability: Allows for detailed configuration of call handling behaviors and settings tailored to organizational needs.
  6. Use Cases:

    • Commonly used in customer service departments, reception areas, or any situation where incoming calls need to be distributed among a group of employees or devices.

Overall, hunt groups enhance communication efficiency by ensuring that calls are promptly attended to, leveraging the availability of multiple extensions or devices.
