How to Set Up and Access Voicemail

At Vantact, voicemail is automatically enabled for each extension during the system setup. The voicemail box allows you to store, retrieve, and manage your messages directly from your phone. Follow the steps below to set up and manage your voicemail.

Voicemail Box Setup and Features

  • By default, each voicemail box is set to store up to 20 messages. This limit can be increased upon request—just contact Vantact Support.
  • You can access your voicemail using a desk phone, by dialing a special code, or by dialing your own extension.

Step 1: Accessing Your Voicemail

There are three ways to access your voicemail:

  1. Using the Voicemail Button:

    • Press the dedicated Voicemail button on your phone (usually looks like an envelope icon).    
  1. Dialing *97:

    • From your phone, dial *97 to access the voicemail system.
  2. Dialing Your Extension Number:

    • Dial your own extension number to be directed to your voicemail box.

Step 2: Enter Your PIN

  • When prompted, you will need to enter your voicemail PIN.
  • You can fine out the default PIN by contacting Vantact support. You should change this PIN after your initial login for security purposes.

Step 3: Managing Your Voicemail

Once inside your voicemail box, you can perform the following actions:

  • Listen to Messages: Follow the prompts to listen to your saved voicemail messages.
  • Erase Messages: After listening to a message, press the corresponding button (usually 7 or 3, depending on the system prompts) to delete it.
  • Change Your PIN: You can change your PIN to a new one for added security by following the instructions provided by the voicemail system.
  • Record Your Name: Record your name, which will be used in system-generated prompts and when others hear your voicemail greeting.
  • Record a Greeting: Set a custom greeting that callers will hear before leaving a message. You can record and change this greeting at any time.

Step 4: Customizing Your Voicemail (Optional)

  • Voicemail to Email Feature: You can request to have voicemails forwarded to your email as audio attachments, allowing you to listen to messages from your inbox. This feature is available on request—please contact Vantact Support to enable this.
  • Adjust Message Limits: If needed, you can request an increase to the default 20-message storage limit.
  • Voicemail Forwarding: Advanced forwarding options can also be set up to send voicemails to other phone numbers or users.
